Pre-Event

Participate in all strategic event planning meetings.

Event site selection and negotiation of contracts.

Create budget and production schedules for the events.

Support the creation of event marketing efforts.

If needed, manage registration process including communications to registrants.

If needed, be the liaison with speakers providing travel information and collecting speaking requirements.

If exhibit space is included with the event, work with exhibitors and the facility regarding the show layout and exhibition requirements.

Work with the client in the design, creation and implementation of event signage.

Maintain ongoing financial reports as required by the client.

Support the creation of event evaluation forms.

Work with the event location in the designing of all meals and banquets.

In collaboration with the client, plan all on and off-campus social events.

Work with all event vendors, including (not limited to) audio/visual, decorating/design, catering, rental and print, always maintaining a positive and productive relationship.
On-site
-
Pre-event meeting with relevant facility staff, going over every detail of the upcoming event.

Overseeing the setup of all event space daily, including room layouts, meals, a/v requirements, insuring all is according to plan and managing any last-minute changes.

Managing any volunteers and staff needed for the event.
-
Wrap-up meeting with the facility at the close of the event.
Post-Event
-
Reconciliation of event expenses and collaborating with the client in the processing of all payments due.

If exhibit space is included in the event, work with the client in evaluating the exhibitor experience.

Participate in post-event evaluation meeting with the client.
